Understand the tracker’s main workspaces, interpret its statistics, and find the materials used as inputs at every lifecycle stage.

Member Status · All

Member Dashboard

Choose All in the member selector for a council-wide view. Add or remove members, filter by statutory section, sort the roster, and open a member’s detailed page from their name. Member Scope switches the roster and every summary between all records and members whose term includes today.

Key information

  • Integration state: Inadequate means onboarding is incomplete; Partially Adequate means onboarding is complete but committee integration is underway; Adequate means onboarding, a committee assignment, and committee work are complete.
  • Activities left: Remaining checklist items appear for onboarding and offboarding. Committee columns report progress for each committee, or note that the member has not joined one.
  • Section and challenges: The statutory role section and active-challenge count identify representation gaps and support needs.

Summary statistics

Integration circles
Count members in each integration state. The center fraction is the number in that state out of all members.
Role fulfillment
Filled seats versus seats required by statutory section. A full bar means required representation is met.
Challenge status
Totals active and resolved challenges across all stages. Active items still need attention.
Committee membership
Counts unique assigned members; it measures coverage rather than checklist completion.

Member Status · Individual

Individual Member Page

Select a member to manage their profile, term dates, lifecycle checklist, committee participation, check-in schedule, challenges, and working notes. Organization, email, role, and term dates share a roomier profile row beneath the member selector.

Key features

  • Lifecycle status: The progress bar counts completed stages; Current Stage is the first incomplete stage.
  • Completion exceptions: The button beside Current Stage opens all four stages. Enable custom requirements for a stage and select only the checklist items that are appropriate for that member. Restore Standard Logic removes all member-specific exceptions.
  • Inputs and resources: Inputs link to Resources below. They are reference materials rather than checkboxes and do not affect milestones.
  • Stage completion: Onboarding and Offboarding require every entry, activity, output, and outcome. Committee Assignment also requires one committee with completed outputs and outcomes. Committee Work completes when at least one output is selected for an assigned committee.
  • Bulk selection: Select/Deselect All changes journey checklists only and excludes resources and challenge remediation.
  • Engagement timer: Schedule a one-week, one-month, three-month, or custom check-in. A warning appears when less than a week remains.
  • Challenges and notes: Add challenges, mark them Active or Resolved, track remediation, and maintain autosaved notes. A green highlight confirms an on-blur save.

How to interpret progress

Stage completion reflects checklist completion—not attendance, elapsed time, or an absence of challenges. Those signals remain separate so process completion and ongoing engagement can be evaluated independently.

Meeting participation

Attendance Page

Track GWC Quarterly Meetings and committee meetings. Select a meeting-group tab, add or edit dates, and record Present, Absent, or Delegate Staff. Delegate Staff opens a field for the attending staff member’s name.

Filters and rules

  • Member Scope limits tables, member choices, and statistics to Active Members or includes All Members. Active includes current-roster records explicitly marked active or members whose saved term contains today.
  • Filter by all members, one member, or committee. Individual views show only quarterly meetings and that member’s committees.
  • Use Current Year or All Years to control the statistics range.
  • Attendance is unavailable outside a member’s term. Deleting a date affects every member; deleting a committee removes memberships and attendance history.

Summary statistics

Group line charts
The y-axis is the percentage of members eligible on each date who were present. Point labels retain the count and percentage. This makes dates comparable as terms change the eligible group size.
Individual progress wheels
Show meetings present and attendance rate out of in-term meetings, broken down by quarterly meetings and each assigned committee.
Delegate Staff
Records representation by a delegate but is distinct from the member being marked Present.

Engagement schedule

Notifications Page

Notification Strategy and Tools combines three standardized sections: compact check-in defaults, Email Preparation, and the Individual Notification Schedule. Member Scope applies to email audiences, recipient choices, and schedule rows together.

Email drafting

  • Choose all GWC members, members assigned to one committee, or one specific member. Only saved email addresses are included.
  • Write the body and select a reusable signature profile. Save profiles in this browser for future drafts.
  • The generated output contains a semicolon-delimited recipient list, body, and selected signature. Copy Output places all three sections on the clipboard; the tracker prepares but does not send the email.

Schedule views

  • Select a stage button to compare that stage across members.
  • Next Check In finds each member’s closest scheduled check-in across all stages and identifies the relevant stage.
  • Last check-in is the timer start date. Next check-in is calculated from cadence or custom date. Custom schedules show the exact number of days between dates.

Color interpretation

Standard
